General

This portal helps Suppliers and Customers collaborate on invoices and payment confirmations. The portal automatically identifies and reconciles differences between both parties' records, helping reduce disputes and improve account accuracy.

Suppliers and Customers can access the portal using their registered email address.

This portal is designed for users from across the world including United States, Australia, Canada, United Kingdom, Germany, France, India, China etc.,

Invoice Management

Invoices can be recorded through:

  • Direct entry in the portal
  • Excel/CSV upload
  • Integration with supported accounting systems
  • Email submission (if enabled)

Once an invoice is recorded, the Customer can:

  • Log into the portal and approve the invoice
  • Click the approval link provided in the invoice notification email
  • Reply to an approval request email (if enabled)

Invoice confirmation indicates that the Customer has received the related goods or services and acknowledges the invoice for reconciliation purposes.

Yes. Invoices can be recorded and remain in an unconfirmed status until approved by the Customer.

No. Duplicate invoice numbers for the same Supplier are not allowed. This helps prevent duplicate processing and reconciliation issues.

Payment Management

Payments can be entered manually, uploaded through Excel/CSV, synchronized from an accounting system, or submitted through approved email workflows.

The Supplier can:

  • Confirm receipt directly in the portal
  • Approve payment confirmation requests received by email
  • Use approval links included in payment notifications

Payment confirmation helps ensure that both parties agree on payment status and timing, reducing reconciliation differences.

The reconciliation report will identify the payment as an unmatched transaction until both parties record and confirm it.

Credit Memo Management

Credit memos can be entered directly in the portal, uploaded through Excel/CSV, imported from integrated accounting systems, or submitted via approved email workflows.

Credit memos require confirmation by the Supplier before they are included as confirmed reconciliation items.

Confirmed credit memos may require cancellation and re-entry.

Reconciliation

The portal compares records maintained by both parties and identifies:

  • Balance as per Supplier
  • Invoices not recorded by Customer
  • Payments not recorded by Supplier
  • Credit memos not recorded by either party
  • Other unreconciled transactions
  • Balance as per Customer

The reconciliation includes:

  • Invoices
  • Payments
  • Credit memos
  • Adjustments (if enabled)

An unmatched transaction is a transaction that exists in one party's records but has not yet been recorded or confirmed by the other party.

Reconciliation is updated whenever new transactions are recorded, approved, imported, or synchronized.

Ledger and Transaction Visibility

Yes. Customers can view both confirmed and unconfirmed transactions in their ledger.

The ledger will include:

  • Invoice details
  • Payment details
  • Credit memos
  • Transaction dates
  • Reference numbers
  • Confirmation status
  • Outstanding balances

Yes. Authorized users can export ledger information to Excel, CSV, or PDF formats (subject to system settings).

Notifications and Reminders

Yes. Automated reminder emails can be configured for:

  • Unapproved invoices
  • Unconfirmed payments
  • Unconfirmed credit memos
  • Outstanding reconciliation items

Reminder schedules can be configured by your organization administrator.
